What is Enterprise Reporting?
On August 4, 2003, the University launched new Web-based Enterprise Reporting
tools that provide a simple way to view, create, or download reports from
existing yet improved data sources--including personnel, financial, payroll
history, directory, and student data. All UF faculty and staff are able
to use these tools via the myUFL portal to produce pre-defined, delivered reports
as well as to define new ones. University administrators are able to use
these data and tools to manage their resources unlike ever before.
On July 1, 2004, the Enterprise Reporting tools, along with other PeopleSoft reporting and analytical tools, were integrated with the PeopleSoft financial, personnel and payroll systems. The data warehouses contain data from both the current legacy systems, as well as, the new PeopleSoft systems. This was the first step toward the Enterprise Reporting envisioned and defined early in the UF Bridges project. The long-term vision is to provide broad access to comprehensive data warehouses; provide common tools for the entire campus; provide reports and functionality to meet the needs of all users; and to provide self-service, on-demand access. Using the new warehouse and tools, many more people can get access to the data they need to make decisions and manage their resources.
Can I personalize Enterprise Reporting to fit my
needs?
Yes, the Personalize the Portal guide on the myUFL
toolkits page will show you how to personalize the way data appears
in Enterprise Reporting by changing the preferences. You can set your home
page, language, and time settings as well as the preferred output format
of reports. To learn how to customize your Enterprise Reporting experience
further by creating your own personalized pages, read the Create Personalized

how you can change the look of your Enterprise Reporting home page by changing
the layout of the page.
Who has access to the data in Enterprise Reporting?
Does everyone have the same data?
Anyone who wants to use Enterprise Reporting must have the UF_ER_User role.
You will not see Enterprise Reporting on the myUFL Menu in the portal if
you do not have this role. Please contact your Department Security Administrator (DSA) have them assign
this role.
In addition to UF_ER_User, you will also need access to certain types of data related to your job duties. A complete listing of reporting roles for end users and core users is available on the Enterprise Reporting services page on the Bridges Web site in the Security section.
How often is the data updated?
It depends on the data source. The UF Directory is real-time, but most of
the others run daily--with payroll data (cost distribution data) running
after each payday. When you open a data set (or "cube"), there is a timestamp
directly under the title line at the top that tells you when the data "cube"
was last updated.
I keep getting a timeout window pop-up every 40
minutes. What happens if I close it? What happens if I click OK?
You can close this window (use the "x" in the top right-hand corner) and
it will not interfere with your Enterprise Reporting session. If you need
to get back into the myUFL portal, you need to log in again. If you want
to keep the myUFL portal session running while you are in the Enterprise
Reporting tools, just click "OK" on the timeout pop-up window. However,
this will continue to pop-up every forty minutes.
When I use the BACK button on the browser it brings
up a "Warning: Page Has Expired" message.
Please do not use the BACK button or any other external browser buttons.
Use the navigation inside the Enterprise Reporting tools. If you do get
this error, you may be able to click the "Refresh" button on the browser,
then click "Retry" in pop-up window.
When I am using a data table (or cube) in PowerPlay,
how do I get back to the view/page I was just looking at?
Change or remove completely the filter displayed on the top gray bar of
the table. The filters are always in bold font.
When I am using a data table (or cube) in PowerPlay,
how do I get back to the main page for that data mart?
Click the "Return to Source" button in the bottom right corner of the Enterprise
Reporting window.
I keep clicking the "Previous" button at the dimension
line (top gray tool bar) in the data cube but it doesn't take me back. Why?
The buttons on each side of the dimension line only move the display of
the variables. It does not function as a "Back" button.
When I use the Drill-Through button on the toolbar
I'm getting more data than I'm asking for. Why?
When you use the Drill-Through button, regardless of the cell you have highlighted,
you are actually drilling on the data that is displayed in the grand total
cell, which is the bottom right corner of your data table (in a bold, gray
font). You need to filter your table more if you want to drill-though to
a smaller subset.
I just ran a Drill-Through report. How do I get
back to the data cube?
Click on Return link in the upper right-hand corner.
After I do a chart, how do I get back to my table
view in PowerPlay?
To go back to your table view after doing a chart, click the "Crosstab"
button on the tool bar (just to the left of the chart button). You can toggle
back to the chart again by clicking the "Chart" button.
How do I sort a column?
When you click on a column header without clicking on the actual text, you
will see a set of arrows. Click on the arrows and it will prompt you to
sort in ascending or descending order. You will not be able to sort the
Level Sector areas (first columns and header row).
How do I save my work on my hard drive, server,
etc.?
The "File" button on the right of your PowerPlay toolbar will give you export
options. You can export to CSV (for Excel) or PDF format. Remember, saving
your work in your "My Folders" in the Enterprise Reporting tool allows you
to update the data automatically. Saving it to your own server or computer
does not.

How do I run cost distribution reports for my
cost center for previous pay periods?
In Enterprise Reporting, navigate to Human Resources Information > Pay Information
> Payroll Cost History. These reports will provide you access to historical
information. Current Pay Cycle reports are limited to most recent two pay
periods.
Where can I find out more information about using
the Summary Ledger cubes or other cubes and reports related to payroll,
purchasing, etc.?
Instruction guides are the best way to learn how to run reports in Enterprise
Reporting. New guides are frequently added to the Bridges Web site. To find
out if a particular area has an instruction guide for reporting you can
either look on the Enterprise Reporting services page, or look under the
service page for the specific topic (e.g. Payroll, Purchasing and Payables).
